Draft for review · 14 September 2026 · Not yet effective
Who is responsible for your information
Kwordia is operated by Andre Clinchant, a sole trader trading as Kwordia, who is responsible for the personal information described in this notice. Kwordia provides SEO research, search analytics and ranking tools to businesses and consumers.
For privacy enquiries or requests about your information, email support@kwordia.com.
Information used by Kwordia
Account information includes your email address, account identifier and, where supplied by your sign-in provider, name and profile image. We process the keywords, domains, URLs, locations, device choices and other inputs you submit, together with search results, saved schedules and usage history.
Billing records include membership status, renewal information, credit balances, search charges and PayPal transaction references. PayPal handles payment details in its checkout; Kwordia does not ask you to enter card numbers in its own forms. Service logs may include account identifiers, request information and errors needed to operate and troubleshoot the service.
Why information is used
We use account and search information to provide the tools you request, restore saved work, run schedules you enable and administer payments. The proposed legal basis is performance of our agreement with you, or steps you request before entering it. Security, misuse prevention and troubleshooting are proposed legitimate interests, subject to a documented assessment. Records needed to satisfy applicable accounting and legal obligations are processed on that basis.
Optional Google connections require your authorisation. A permission granted in Google is not a blanket consent to unrelated use of your data. Any optional marketing or non-essential tracking would need its own disclosed basis and, where required, consent.
Service providers and sharing
Supabase provides account authentication and database services. DataForSEO receives the search inputs needed for the SEO tools you use, including inputs to its AI features. PayPal processes membership and top-up payments. Google supplies sign-in and, when connected, Search Console data. Hosting and infrastructure providers process requests required to deliver the app.
Before launch, the operator must confirm the complete provider list, hosting locations and any international transfers. Where transfer rules apply, the applicable adequacy decision or contractual safeguards and how to obtain details must be stated here. This draft does not claim that those arrangements have already been verified.
Google Search Console
When you connect Search Console, Kwordia requests read-only access to properties you can access and reports such as queries, pages, clicks, impressions, click-through rate and average position. The current app stores connection tokens and the connection email in your browser’s local storage, and sends the credentials to Kwordia’s server to retrieve reports from Google. Connection requests may also appear in your usage history.
You can revoke Kwordia’s permission in your Google account connections. Clear Kwordia’s site data in your browser to remove locally stored connection details. Revoking access does not itself erase previously stored account, search or billing records.
Browser storage
Kwordia uses browser storage for sign-in sessions, preferences such as theme, and saved Google connection details. Clearing storage can sign you out or remove those settings. The final notice must include a verified inventory of cookies and other storage, their purposes and durations, including any introduced by the production host or embedded services.
Retention and deletion
We retain search and ranking history for 12 months from each check. We retain personal account information while your account is open. If you request account closure, we delete your personal account and search data from active systems within 30 days, except information needed to meet legal obligations or resolve disputes.
Operational logs are retained for 90 days. Relevant security evidence may be retained longer only where necessary to investigate or address an incident. Information retained for a dispute is limited to what is necessary and reviewed when that dispute is resolved.
As a sole trader, we retain required billing and tax records for at least five years after the 31 January tax-return submission deadline for the relevant tax year, and longer where a specific legal obligation requires it. Retaining a financial record does not require us to keep the full search result.
Deleting a recurring schedule stops future checks and removes its recent-check table. Completed searches remain in History until the retention period ends or an applicable deletion request is completed; required billing entries are retained separately. Request account closure through Your account or contact support@kwordia.com for help with deletion.
Implementation note for this draft: these retention rules were approved on 14 September 2026. Account-closure safeguards and local automated cleanup have been tested. Production hosting, operational-log retention and closure-deadline monitoring still need verification before this notice becomes effective. Backup retention and deletion periods remain to be confirmed; no backup deletion deadline is promised by this draft.
Your choices and rights
Depending on the applicable law and circumstances, you may request access, correction, deletion, restriction or portability of your personal information, and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. Some records may need to be retained to meet legal obligations.
Send requests to support@kwordia.com. The request-handling process must be verified before launch. In the UK, you may also complain to the Information Commissioner’s Office.
Changes to this notice
The approved notice will carry an effective date. Material changes will be explained before they take effect where required. The operator must approve the notification process before publication.
